SUMMARY:

The Traffic Coordinator position is an administrative support position to our media buying group. The coordinator ensures that ads are being run on the correct stations according to the applicable schedule. He or she will work closely with our sales team, as well as stations reps, call centers, and dub houses to ensure deadlines are consistently met.

Responsibilities

  • Communicate regularly and effectively with client reps and sales team regarding status of schedules and needs
  • Work effectively with the sales and account management teams and stations
  • Coordinate timely movement of traffic reports, including monitoring status of confirmations
  • Create log files and communicate with stations with all log/traffic related issues
  • Monitor receipt of commercials and agency traffic instructions to multiple recipients
  • Track missing materials and instruction with stations, clients, and/or tape houses
  • Match tape details and instructions to the correct sales contract/station
  • Organize and assign phone numbers for commercial ingest according to schedules
  • Maintain records and update project reports
  • Evaluate and prioritize personal work load between internal and external demands
  • Manage regular tasks with minimal oversight
  • Troubleshoot workflow problems and/or delays; adapt and proactively repair
  • Assist with other projects/needs within the creative department as required, including but not limited to: supplies, managing the filing and organization of shared documents, scrubbing data, etc

Qualifications

  • Self-motivated with the ability to work both independently and in a team setting
  • Ability to interact with people at all levels of the organization (internal as well as with clients), fostering strong cross-functional teamwork
  • Ability to manage multiple projects with short timelines in a fast paced dynamic environment
  • Background in direct marketing (TV and internet) preferred but not required
  • Computer literate: Excel and database exploration
  • Desire and ability to thrive in a fast paced environment
  • High level of attention to detail, organization, accuracy and speed required
  • Advanced Problem Solving/Trouble Shooting skills with aggressive decision making nature.
  • Strong communication skills - both written and verbal
  • Works well under pressure, while maintaining accuracy and  professional demeanor
