The Media Coordinator provides support to their assigned buyer on a day-to-day basis.  The Media Coordinator needs to be comfortable in a high volume environment and is responsible for data entry and writing up all buyers paperwork including telecast orders and revision to schedule.  They are the liaison between the buyer, station and rep firms, and will provide administrative and customer service support.


The primary function involves retrieving post logs from stations and entering exact airing dates & times into the media system. 

  • Station confirmations - confirm all station orders in a timely manner. Buyer will send the first order, and then it is up to the assistant to follow up every day until a confirmation is received by re-faxing and calling the appropriate parties at stations. Must be completed before the flight date starts on the station order.
  • Traffic - It is the assistant’s responsibility to keep in contact with the traffic department on a daily basis to find out what media is not confirmed by the stations traffic department. The assistant will need to contact the buyer's stations to help assist with confirmations. Must be completed prior to the start of the flight date of the station order.
  • Discrepancies - it is the assistant’s responsibility to communicate with accounting every Friday and collect all paperwork that does not match the SPOT system and the invoice from the station. The assistant is to gather all the data for the discrepancy and present it to the buyer for final review. Discrepancy’s need to be completed within one week of receipt from accounting.
  • Reporting – it is the assistant’s responsibility to work with the buyer in analyzing reports on a weekly basis to better understand and meet performance and clearance expectations.
  • Sourcing - it is the assistant’s responsibility to understand the sourcing process and to research any issues that look to be impacting results, i.e. no data for a media buy or major variations from typical response.
  • Filing - Stations orders need to be accurately filed on a weekly basis.
  • Paperwork – the assistant will need to prepare and facilitate the processing of paperwork between the buyer and accounting. These documents include check requests and station setup requests.


  • Must be able to read and write English proficiently
  • Must be able to enter data accurately
  • Must be a detail-oriented person
  • Must be able to work well with others as well as individually
  • Highly motivated to assist others on the team
  • Must have basic computer knowledge and be familiar with word and spreadsheet programs
  • Capable of multitasking
  • Knowledge of Nielson, MRI, Strata, and SWOT analysis a plus.
  • Intermediate to advanced skills in Microsoft Excel and Microsoft PowerPoint






  • 4 yr college degree, strongly preferred
